Overview
Findem has introduced an improved messaging experience that clearly separates single messages from campaign-based outreach. This update helps recruiters understand how candidate messaging works and makes it easier to choose the right approach when contacting candidates.
When you click the Message icon for a candidate, you can now choose between:
- Add Campaign: Create a multi-step outreach sequence
- Single Message: Send a one-time message to a candidate
This separation removes confusion around templates, follow-ups, and campaign workflows.
When to Use Single Messages vs. Campaigns
Single Messages
A single message is a one-time email sent directly to a candidate. Use single messages when you want to:
- Reach out to a candidate individually
- Send a quick follow-up
- Personalize outreach outside of a campaign
Key Characteristics of Single Messages
- Sends one email only
- Uses single message templates
- Can be customized for each candidate before sending
- Appears in the single messages list for tracking
- Cannot be scheduled for future delivery
Campaigns
A Campaign is a structured outreach sequence that may include multiple messages sent over time. Use Campaigns when you want to:
- Contact candidates using a consistent outreach process.
- Send automated follow-up messages.
- Manage messaging within a recruiting project.
Key Characteristics of Campaigns
- Supports multi-step outreach
- Allows automated follow-up emails
- Candidates are added to campaigns
- Campaigns are associated with a specific project
- Can be created from Campaign templates
Sending a Single Message
To send a one-time message to a candidate:
- Navigate to the candidate you want to contact.
- Click the Message icon.
- Select Single Message.
- Choose a Single message template or write your message manually.
- Customize the message if needed.
- Preview the message to confirm variables (such as candidate name) resolve correctly.
- Click Send.
After sending, the message will appear in the Single Messages list, where you can track whether the candidate has responded.
Creating and Sending a Campaign
To start a campaign:
- Click the Message icon.
- Select Add Campaign.
- Choose one of the following options:
- Use Auto-Personalization.
- Select an existing campaign template.
- Configure the campaign steps and messaging.
- Preview the message and confirm variables resolve correctly.
- Add candidates to the campaign.
Once candidates are added, messages will send according to the campaign sequence.
Understanding Templates in Findem
Findem supports two types of templates, campaign templates and single message templates.
Campaign Templates
Campaign templates help you quickly create multi-step outreach sequences. Campaign templates may include:
- Multiple message steps
- Timing between messages
- Sender configuration
- Outreach cadence
When you use a campaign template, it creates a new campaign within your project.
Single Message Templates
Single message templates are designed for quick, one-time outreach. These templates include:
- Email subject
- Message body
- Personalization variables
They are reusable but contain only one message and no follow-ups.
Personalizing Campaign Messages
Even when using a campaign, you can personalize outreach for a specific candidate before sending. If you edit the campaign message while messaging a candidate, changes apply only to that candidate. The original campaign remains unchanged; this allows you to customize messaging without affecting the broader campaign.
Tracking Outreach
Findem separates tracking for campaigns and single messages to provide clearer visibility.
Campaign Tracking
The Outreach tab displays candidates assigned to each campaign associated with the project. With the refreshed Outreach tab, each campaign also shows a performance summary at a glance — sent, opened (open rate %), replied (reply rate %), bounced, and pending — visible directly in the list without drilling into a dashboard. From within a campaign you can also run a campaign email audit to check per-email delivery status.
Delivery issues that arise from adding a candidate to a campaign (missing email, bounced address, failed send) now surface and resolve directly on the Outreach tab, each with a one-click fix, so you no longer need to go to the Shortlist page. Single Message Tracking
The Single messages list displays who received individual messages, the most recent message sent, and whether the candidate has responded.
This separation helps recruiters easily distinguish between campaign outreach and one-off messages.
Quick Messaging Actions
Findem includes quick actions that help guide your next step during outreach. For example, if a candidate has completed all steps in a campaign, you may be prompted to start a new campaign or send a single message. If a candidate has not been contacted yet, clicking Message will open the messaging window automatically. This helps recruiters continue outreach without manually tracking campaign progress.
Important to Note
Single messages cannot be scheduled; they're designed for immediate outreach and cannot be scheduled for future delivery.
Campaigns manage follow-ups. If you need automated or scheduled follow-up messages, use a Campaign instead of a single message.
Campaigns are project-specific, while templates are reusable starting points for creating campaigns or messages.
Single messages and campaign creation (current behavior)
Under the current Reach Out flow, a new campaign is created whenever you use a template that does not already exist as a campaign on the project, even if you're sending what appears to be a one-off single message. To avoid creating a new campaign, use a template that already exists as a campaign on the project.
Best Practices
- Use Single messages when you want to out to one candidate.
- Personalize communication with both Single messages and Campaigns. Use Campaigns when you want to outreach across multiple candidates.
- Send structured follow-ups.
- Maintain consistent recruiting messaging.
