Formatting Tips & Best Practices
Using the Format Editor
You can format any email body in Findem by adding images, links, tables, emoticons, and special characters.
When you're on the Campaign's page, scroll to the bottom for the email body.
Click on the More Rich "+:" symbol to expand the formatting options.
More formatting options will be shown. Refer to the image below.
To insert a link click on the Insert Link symbol or press Ctrl+K and the link URL.
To insert an image, click on the insert image symbol as shown below.
Click anywhere inside the dotted box to add the image from the folders or just drag and drop the image inside the box.
To delete the image, click on the image, it will show additional formatting options as shown above. Click on the delete symbol to remove the image.
To add a table, click on the insert table symbol as shown in the image.
Depending on rows and columns, the blue boxes can be selected or de-selected.
To delete the box, click on the box and then select the delete symbol.
Editor Limitations
- Maximum image size - 5MB
- Image dimensions - No limits on image dimensions
- Image type - png, jpg, gif and webp files can be uploaded to Findem emails. However, not all file types are supported by Gmail. Be sure to review supported file types in Gmail/Google Drive before sending your email campaign out.
- Character limit - 80k per email on campaigns. Note, for nurture campaigns, the character limit is 150k
Formatting Tips & Best Practices
Preventing Formatting Issues
To avoid formatting problems when pasting content from external sources:
- Use the Clear Formatting option after pasting text into the editor, or, before pasting your content, right click and choose Paste and Match Style
- Be especially careful when pasting from Microsoft Word. Word adds hidden formatting and HTML that may look fine in the Findem editor but can create strange spacing or line breaks for recipients.
- If you've already created a campaign from Word content and notice odd spacing, use the editor's Clear Formatting option on the affected text, then re-save the campaign.
- Alternatively, use keyboard shortcut 'Cmd + Shift + V' to paste and match the style
- These methods help remove unwanted styles that can be introduced from external sources
Formatting issues typically occur because different text editors handle styling differently. Content copied from word processors or web pages can bring along hidden styles that don't translate perfectly into the Findem editor.
Adding GIFs to Campaign Templates
To add a GIF to a campaign template without encountering character limit issues:
- Upload the GIF directly through the platform instead of copy-pasting
- Use the upload feature in the Campaign Templates page or through the Projects --> Campaigns page
- Ensure GIFs are under 5MB in size for optimal performance
Resolving Formatting Inconsistencies
If you notice inconsistent font sizes or hyperlink styles in your email campaigns:
- Use the Clear Formatting option to reset text styles
- Always utilize the Send a Test Email feature to verify the actual email appearance
- Don't solely rely on the preview mode for final formatting confirmation
Best Practices for Email Signatures
When adding images or GIFs to email signatures in campaign templates:
- Use GIFs with file sizes under 5MB
- Use a direct image URL when possible
- Verify the image displays correctly in test emails
- Ensure the image is professional and relevant to your communication
Note: Any changes to the template will apply to new candidates or future email steps in the campaign.
Troubleshooting Email Signatures in Outlook
If your Outlook email signature does not always appear automatically when sending a campaign:
- Campaign template content or formatting (especially from copy/paste) can prevent the Outlook signature from rendering correctly.
- Outlook client settings can control whether a signature is added to sent messages and replies/forwards.
- Behavior can vary based on how the sender email is selected; in some cases, switching the sender causes the signature to be added automatically.
To diagnose issues, remove any signature content from the campaign template, perform a dry run with the intended sender selected, and verify your Outlook signature settings directly in your Outlook client.
Troubleshooting Image Issues
If you notice inconsistent image sizes in your templates:
- Verify the image dimensions in the template settings
- Perform a dry run of the email campaign to check image rendering
- Check the image size in pixels and ensure it matches across different emails
- Test the email template in multiple email clients to confirm consistent display
Testing Your Campaign Format
Before sending your campaign to candidates, it's important to verify how your formatting will appear:
- Click the 'Start Campaign' arrow, then select 'Save and send a test email'
- Add your email address, then click 'Save and Send'
- Always utilize the test email feature rather than relying solely on preview mode for final formatting confirmation
Troubleshooting Test Email Errors
If you encounter an 'Error sending the test email' message when creating an email campaign:
- Check that the email address is current and active
- Reconnect the email account if necessary
- Attempt to resend the test email
- If the issue persists, contact customer support for further assistance
Note: In some cases, the error may be due to an expired or disconnected email account that needs to be re-authenticated.
How Test Emails Work with New Sender Emails
When testing campaigns with a newly configured sender email:
- The test email will be sent from your new sender email address (e.g., talentacquisition@starpediatrics.com).
- The test email will be delivered to the email address you specify in the test field. This allows you to verify both the formatting and the proper configuration of your new sender email.
- When the actual campaign is sent, emails will be sent from the new sender email to all campaign recipients.
