Important Rules & Platform Requirements
Overview
When setting up multi-step email campaigns, you can choose who sends each individual step.
Instead of assigning one sender to the entire campaign, you can configure sender settings within the campaign setup. This makes it easier to run effective send-on-behalf campaigns without juggling multiple workflows.
What's the Value?
We’ve seen that campaigns where recruiters send the first message and hiring managers send follow-ups consistently perform better.
Previously, executing this strategy required:
Creating separate campaigns for each sender
Manually moving candidates between campaigns
Coordinating timing across workflows
Risking duplicate messages or missed follow-ups
Now you can build the entire sequence — with multiple senders — inside a single campaign, keeping timing, context, and reporting intact.
How Does It Work?
Step-Level Sender Controls
For each campaign step, you can configure the:
Sender
Reply-To address
CC
Forward address
Each step can have its own configuration.
When you add a new step, it automatically inherits the sender settings from the previous step, but you can change it at any time before that step sends.
Creating or Editing a Campaign
When building a multi-step sourcing campaign:
Create your first step as usual (this uses your campaign-level default sender).
Add additional steps.
Expand the Sender Settings section within each step.
Adjust the sender, reply-to, CC, or forward fields as needed.
Changes apply only to that specific step, not the entire campaign.
Using Templates
You can save per-step sender configurations inside campaign templates.
When you apply the template, sender settings are automatically populated, and you can adjust them before launching.
Note:
Some shared or system templates may restrict editing sender fields.
Save and Send Test
When you click Save and Send Test:
You'll receive test emails for every step.
Each email will come from the configured sender for that step.
Campaign timing rules are respected.
If any sender has connectivity issues, the test send will fail and identify the specific sender that needs attention.
Send on Behalf of (SOBO)
If you're trying to send an email on behalf of someone else, set yourself as the reply-to. The SOBO sender (the person you're sending on behalf of) technically receives the reply, but it gets auto-archived within a few seconds. This means the original sender does not actually see it in their inbox.
So while the email does route to the SOBO sender initially, Findem's system automatically archives it so they won't be notified or see it, effectively preventing them from being bothered by candidate responses.
This auto-archiving behavior ensures that even though the technical email routing includes the SOBO sender, they won't be impacted by the replies in practice.
Important Rules & Platform Requirements
1. All Senders Must Use the Same Email Platform
You cannot mix:
Gmail + Outlook
Gmail + SendGrid
Outlook + SendGrid
All senders in a campaign must use the same platform.
If you attempt to mix platforms:
You’ll see a real-time error
You won’t be able to save or launch the campaign
The system will clearly identify which sender is causing the conflict
This ensures reliable campaign execution.
2. Gmail Threading Restriction
If you're using the Findem/Gmail integration:
Threading is allowed when using a single sender.
Threading is automatically disabled if you add a second sender.
This prevents conversation threading conflicts across multiple Gmail accounts. You cannot override this restriction. If you return to a single sender, threading becomes available again.
3. Sending Limits & Credential Expiration
Each sender maintains their own authentication status and sending limits.
If a Sender’s Credentials Expire:
The campaign pauses.
You receive a notification identifying which sender needs reconnection.
Once reconnected, the campaign resumes automatically.
If a Sender Hits Their Daily Limit:
Only steps using that sender are paused.
Other steps with different senders continue.
Messages queue automatically until the limit resets.
If all senders hit their limits, the entire campaign pauses.
4. Mid-Campaign Sender Updates
If you change the sender for a future step:
Candidates who have not yet reached that step will use the updated sender.
Messages that were already sent are not affected.
Conversation history remains intact.
If a sender leaves your organization or is deactivated:
The campaign pauses.
You’ll be prompted to select a replacement sender.
Progress for already-sent steps is preserved.

Edited sourcing campaigns
Campaign templates (where permitted)
Reach Out flow
Chrome extension campaign creation

This functionality applies to sourcing campaigns only.

What happens if we mix email platforms?
You’ll see an error and won’t be able to proceed until platforms match.
What if sender credentials expire mid-campaign?
The campaign pauses with a clear notification and reconnection path.

Remaining messages queue automatically until the limit resets.
What happens if we add a second sender to a Gmail campaign?
Threading is automatically disabled with explanation.
What happens if we remove a sender from the organization?
