Upgrading a Manual Campaign to Auto-Personalization
Overview
Recruiters often spend significant time researching candidates before writing outreach messages. Personalized outreach consistently improves engagement and response rates, but doing it manually across hundreds of candidates is time-consuming and difficult.
What is Auto-Personalization?
Findem's Auto-Personalization feature helps recruiters and hiring teams craft personalized outreach messages for candidates — at scale. It automatically surfaces unique candidate insights (such as company background, shared interests, or mutual connections) and integrates those insights directly into your communication templates.

Why It Matters
Personalized outreach is always the most effective method of getting responses, but it takes time. Auto-Personalization was built to solve this challenge by combining automation with recruiter control.
You get the benefits of speed and scale while maintaining your own tone, context, and judgment.
Enable or Disable Auto-Personalization
Go to Organization Settings > Campaigns.

Scroll to Auto-Personalization Campaigns.
The feature is on by default.
Toggle off if you wish to disable it.
To disable all AI enhancement features, switch off the toggle for Enhance with AI.
Configure Your Campaign with Auto-Personalization
Once enabled, Auto-Personalization becomes available when creating or editing a campaign.
You can customize:
Sender details – Choose who the message appears from (e.g., you or another team member).
Role and title – Include contextual information for authenticity.
Job information – Automatically reference relevant job details.
Tone and intent – Choose between professional, friendly, or direct. Our AI will cater to the option you select.
Call-to-action (CTA) – Options include "Apply," "Schedule time," or "Respond back."
Advanced campaign information – Include any existing information already built out from campaigns in your Findem instance (unsubscribe links, etc).
Custom highlights and personalized company information – Add content about your team, company name, company milestones, or recent achievements.
- Job urgency – In the Job Details, choose how urgent the role is. The current options are ASAP, 1–3 months, and building pipeline. If you prefer a softer tone than "ASAP," you can reflect that in your copy with phrases like "in the coming days/weeks," "actively," "currently," or "when we find the right candidate".
Note:
The more specific the context (role, team, or project), the more authentic your outreach will feel.
Upgrading a Manual Campaign to Auto-Personalization
If you're already running manual outreach campaigns, you can upgrade them to Auto-Personalization without disrupting anything you've already sent.

How the Upgrade Works
First, Start the Upgrade
When viewing an eligible manual campaign, you'll see an Auto-Personalization call-to-action.
Selecting it opens a short overview explaining:
The expected performance lift
How personalization works at a high level

Your existing campaign remains unchanged
Only new candidates are affected
You can preview and edit before anything is sent
Exiting at this point makes no changes.
Next, Review the Auto-Personalized Campaign
Findem generates a new auto-personalized version of your campaign using:
Existing sender details
Selected tone and intent
Job and role context
Team and company information
Compliance and sending rules
You can:
Preview candidate-specific messages
Edit content inline
Review before committing
Your original manual campaign remains intact.
Finally, Launch
When you're ready:
Click Start Campaign.
A new auto-personalized campaign is created.
Auto-Personalization applies only to new candidates.
The original manual campaign is preserved exactly as-is.
Preview and Approve Messages
After setup, Auto-Personalization generates a message draft for each candidate.
You can:
Preview each message
Edit directly in-line
Approve messages individually
A good best practice is to start by reviewing messages manually, then transition to automated approvals once comfortable with the tone and accuracy.
Send and Track
Once approved, Auto-Personalization automatically sends messages on your behalf.
It tailors each message using candidate-level context and engagement data to sound natural and relevant.
Findem continuously refines the AI model using aggregate engagement metrics. This helps improve message quality over time.

FAQ
How is candidate data sourced for personalization?
Auto-Personalization uses both candidate records and public professional data. It does not collect or store personal information outside of approved integrations.
Can I preview and approve the messages before they go out?
Yes. This can be done for each candidate and enabled via an advanced setting on the campaign (Manually customize each message before sending). When the message is generated it will be put in a paused state, waiting for approval.
Note: As each message for each candidate needs to be approved, we recommend starting here to get comfortable with the feature and then turning the setting off.
Are there personalization templates I can reuse?
Not currently.
When will my campaign go out to the candidates?
Findem optimizes content, send times, cadence and number of steps to yield the most candidate responses. Send times are based on the user's location, and you can view the send times for each candidate in the candidate's activity feed.
How can I manage when emails are sent if I can't directly control send timing in Auto-Personalization?
Auto-Personalization optimizes send times automatically, and there is no setting to explicitly choose exact send times for each step. If you need more control, we recommend creating multiple campaigns within the same Project (for example, a Weekday outreach campaign and a Follow-up campaign) and schedule or launch each campaign according to your preferred timing.
How is accuracy maintained?
All AI-generated insights go through a validation step to ensure contextual relevance.
What if the generated content feels repetitive?
Click Regenerate to produce a new variation. Each version uses candidate-specific context to vary phrasing and tone.
How do I update the company name for auto-personalized campaigns?
To update the company name for auto-personalized campaigns, you can change the company name from Account Management > Company Name, or from the Sender Details modal in the campaign. This update will then be reflected in the Auto-Personalization email. Ensure you modify the name directly in the system settings to have it appear correctly in campaign personalization.

Why might the wrong company name be showing in auto-personalized campaigns?
The auto-personalized campaigns may pull the instance name instead of the intended company name. This can happen when the system defaults to using the instance name as the company name. To resolve this, manually update the company name to ensure accurate personalization.
