Overview
Copilot is an AI-powered suite of tools that automatically compiles the top candidates across all your Findem candidate channels (Inbound, CRM, ATS, etc.) without you ever needing to define a project from scratch!
Copilot is an AI companion for candidate sourcing across all of your Findem sourcing channels (inbound, CRM, ATS, etc).
How Does It Work?
Copilot prioritizes top candidates from across your org's entire talent ecosystem based on a number of factors and details, including:
- Attribute-based match to the job description
- Whether they're an inbound applicant to the job
- Past applications to your company
- Whether they are in your CRM
- Number of existing connections
Components
Copilot for Sourcing
Copilot for Sourcing uses AI and automation to pull requisitions directly from your ATS. It removes the complexity of building projects by automating the process. In just a few seconds, you get a curated list of top talent we've handpicked for you, ensuring they're not only highly qualified but also freshly verified and reachable.
Getting Started
As a first-time Copilot user, you see an introduction modal that walks you through getting started with the feature.
Creating a New Project
Once you launch Copilot, you'll be given a list of open jobs from your org's ATS. Currently, Copilot supports the following ATS systems:
- Greenhouse: Copilot will display jobs from GH that have the Boolean values live, external and active, wherein live=true and jobs are marked as open.
- Workday
- SmartRecruiters
- Lever
- JobVite
- Ashby
If your org is not using one of these ATS systems, or any ATS, your initial Copilot screen will appear a bit different (see FAQ section below), but the functionality will remain the same.
Note:
If Findem cannot integrate with your ATS, or you're not using one, Copilot will integrate with your jobs site to sync with your open public postings. This will enable Copilot to build your searches automatically from the job description and surface top talent across CRM (Findem), opportunities for internal mobility, potential Referrals and potential boomerang candidates, all using Findem's 3D data.- Your main Projects page will show claimed ATS jobs by default. Here you can filter the specific results you want or scroll across the list of all open jobs.
- Hover over the job you want to begin a project for and click Start Project with Copilot to create a Project. A Project is a search for candidates expressed in Findem; Copilot automatically builds it for you, and saves it to your dashboard for future editing and use.
- Copilot will immediately get to work sourcing prospects from across your entire talent ecosystem based on the job description.
- Once the Project has been created, Copilot will present a breakdown of warm candidates found who match the job requirements. Here, you can download an Insight Report.
- To bring up the full list of candidates, click Get Started.
On your Copilot dashboard, the top 50 candidates are listed first. Scroll down to continue viewing all recommended candidates. You can swap between a number of tabs at the top. You can load more candidates when you scroll to the bottom of the list.
- Verified candidates will have a purple checkmark on their profile image. A verified candidate has been vetted either by Copilot's automation or by Findem's Data team as having the most accurate and up to date information on their profile, including contact info. More on Verified candidates below.
- Copilot is designed to take action on a candidate easily.
- Shortlist: You can shortlist any candidates you like by clicking Shortlist.
- Remove: Remove them from the search results by clicking Remove. The candidate will no longer appear in match results even if you change the search criteria of the Project.
- Message: You can email a candidate directly by clicking the mail icon. This brings up a simplified way to reach out to a candidate immediately with a custom email or turn it into an automated drip campaign with the click of a button.
- The three dots icon on the right side of each candidate's profile will allow you to connect with them on LinkedIn, share them with colleagues or call them (if they have an applicable phone number).

Connect on LinkedIn: Can be used if your team has a policy to reach out in multiple ways. By clicking Connect on LinkedIn, a new browser window will open displaying the candidate’s LinkedIn profile. Simultaneously, our Chrome Extension will trigger a pop up containing a templated LinkedIn message, ready for your use to connect with the candidate.

Share Candidate: By clicking Share Candidate, you can invite hiring managers or recruiters to review a candidate's profile. They do not need a Findem account to view the profile. To share multiple profiles, simply select them using the checkboxes provided. Recipients will receive an email containing a link to review the profile, where they can indicate whether the candidate is not a match, a good match or a great match, and provide feedback.
As the requester, you will receive an email containing this feedback directly to your inbox.
- Call Candidate: Clicking the Call Candidate option provides phone numbers on file, provided by resumes or within your ATS that you can use that to reach out candidates.
- Advance: Inbound applicants to the job can be advanced to another stage in your ATS.
- Reject: Inbound applicants who are not a fit can be rejected without having to go to the ATS.

Enriched Profile View
Clicking into any candidate's profile will open up a full, or enriched, view, allowing you to see more details using Findem's 3D data. On the enriched profile you'll find:

Insights at a Glance: Powered by the AI, this section gives a high level of the candidate's attributes. For example, the Insights may tell you that the candidate currently works at a stable company, or that they have a fair amount of startup experience.
- Here you can also use our AI Assistant to input custom skills or keywords you'd like the AI to scan for in a candidate's profile. Add custom criteria for the AI Assistant to evaluate and save it per project. The AI then scans each profile for these specific skills as you browse, flagging relevant expertise.

Candidate Highlights: This section highlights the history the candidate has with your company, including past applications, resumes (if applicable), number of connections they have to your company, CRM status, etc.

Match Details: This section gives a breakdown of exactly the number of skills/qualifications matches the candidate has. Clicking Expand All will provide attribute-level details for each section.

AI Assistant: This section provides a simplified overview of how the candidate matches the role. You're also able to chat with the AI to learn more about the candidate or have it create strong interview questions based on the candidate's profile. For example, you might ask, "Is this candidate Salesforce Administrator certified?"
- Active Resume Indicator: The green dot next to a candidate's resume icon will indicate they have an "active resume," meaning the information in the resume is the most recent info Findem has on record. By hovering over the chart icon at the top right of the Enriched profile, you can see where the profile data is being pulled from. For instance, this profile is showing public profile data. If you prefer the enriched profile to display resume information, select the ATS Resume option from the dropdown.
Note:
If the information in the candidate's resume differs from that in their LinkedIn profile or other source, no merging of information will happen on the enriched profile. Findem will simply take the most recent information source to create the data you see in the enriched profile.
Editing a Project's Search Criteria
Open a Project's left-hand panel to show the search criteria Copilot created based on the ATS job description. You can edit this however you'd like if it doesn't match exactly. Note that any changes to the search criteria will automatically generate new Copilot candidate recommendations.
Edit Skills with Boolean
Bring industry-standard Boolean format to your Findem search criteria. Findem supports Boolean phrases in the following sections:
- Job Title
- Skills
- Keywords
Using AND, OR, and NOT operators

Use AND in a query to narrow your candidate results
- “blockchain AND cloud computing” uncovers candidates who match all criteria

- “software engineer OR frontend developer” uncovers candidates who match any criteria
- Alternatively, comma separated values will also combine the search terms as ORs (e.g. “software engineer, frontend developer”)

- “NOT google.com” excludes candidates who currently work at Google
Edit Experience Requirements
In the Experience field, you can get extremely granular with Role and Industry experience. For example, if you're looking for a Sales Manager with 10+ years overall experience across 3 or more industries, you can filter your results by choosing the appropriate values here.
Current Experience vs Overall Experience: Current Experience represents the amount of time you've been in your current role, whereas Overall Experience represents your overall work experience.
Automated Refinement
If you ignore three candidates before taking action on any, Copilot provides assistance to reconfigure your Project and suggest new candidates, further streamlining the process.
Note: You can view the definition of any filter values you add by hovering over the value, clicking the 3 dots icon (more), then Definition.
This will summarize the options you selected and what Findem is now looking for in your candidate list.
FAQ
Q: What does "Verified" mean?
A: When you see a candidate's profile has "Verified" on it, it means either Copilot or Findem's Data team has vetted that candidate as having an up-to-date, legitimate method to contact them, as well as "fresh" profile information, meaning the profile information has been refreshed in the past 30 days. It will confirm they have an applicable email address or contact information. A user can be marked as "Fresh" without yet being Verified. Essentially the difference is that a user will "graduate" to Verified once their email address has been confirmed by Findem.
Copilot initially attempts to automatically verify candidate information. If this cannot be achieved automatically, the process is handed over to a team that manually updates the data. This is why you may sometimes see a status marked as gray, which will update upon your next visit to the Project. Typically, automatic verification takes 20-30 minutes, while manual verification is completed within a few hours. Any changes you make to the search criteria will trigger the verification process to restart. We are continually refining and scaling this process to ensure the data's accuracy. Verified individuals are confirmed to have up-to-date information, allowing you to confidently reach out to them. While you can conduct your own research, you can rest assured that verified profiles are reliable and current.
Q: Where are candidates pulled from?
A: Candidates are pulled from all 7 hiring channels (or all the ones your org is utilizing), including Inbound Applicants, ATS, Internal Employees, CRM, Employee Connections, Alumni and External Sourced candidates. External sourced candidates are only pulled once all internal hiring channels have been exhausted.
Q: How does Copilot prioritize candidates?
Copilot will prioritize candidates who are “High Priority,” warm (taken from non-external hiring channels) matches AND fall into the non-external hiring channels mentioned above. After all High Priority candidates are found, the list will show Priority warm candidates and so on. Once all those candidates have been exhausted, Copilot will find and display candidates from external hiring channels.
Q: How do I adjust the search criteria?
A: Once you start a Project with Copilot and perform the initial search, click the blue filter button to show and edit the search criteria. Any changes will automatically serve new Copilot recommendations to you.
Q: How does Copilot work in terms of skills-based hiring, specifically soft skills?
A: Copilot is able to perform both title and skill-based searches. Findem leverages its unique 3D data set to increase the quality of a soft skill search. For example, when looking for candidates who are “leaders,” leadership is not always a firm skill. But by layering on multiple data points, Findem Magic can identify Key Opinion Leaders, i.e. candidates recognized as Key Opinion Leaders (KOLs) in their respective fields, with a significant number of patents or cited research papers. You can send your org's specific soft skill requests to Findem to create a custom attributes based on your definition to increase the quality of your candidate pool.
Q: How fresh is the candidate data being served up by Copilot?
A: All candidates featured in your Copilot list are verified by our specialist team to guarantee both accuracy and quality fit. When you see the Verified stamp next to a candidate, rest assured that it has undergone thorough review and approval by our team.
Q: Can Copilot sort and manage candidate profiles in non-English languages?
A: Copilot is scraping over 100,000 publicly available data sources, including non-English profiles. Users have the ability to source in alternative languages, as well as leverage Findem’s AI email campaigns in different languages.
Q: How are ATS jobs sorted?
A: They are sorted by the most recently-posted job. As of now you cannot modify this sorting.
Q: Is my company's ATS required to be connected to Findem for Copilot to work?
A: No. While connecting your ATS will lead to better results, Copilot can still pull candidates from the rest of your talent ecosystem (hiring channels) if your ATS is not connected. You can also enable career site scraping manually if your company uses one or more career sites for locating candidates.
Q: What ATS systems are supported with Copilot?
A: As of now, Greenhouse, Workday, SmartRecruiters, Jobvite and Lever ATS are supported. If your org's ATS is not supported, or you're not using an ATS, Copilot will still work, but your experience will vary slightly.
Copilot Without an ATS
Q: What's the difference between the existing Search Assistant and Copilot?
A: Search Assistant lets users start their searches with their own words, similar to ChatGPT. Copilot for Sourcing provides an instant list of curated leads based on the user’s ATS job description and supplies high-converting, matching candidates to any Project in the form of the Copilot Recommendations tab.
Q: Is Copilot available for users with limited Findem views?
A: Copilot's sourcing can be limited by clicking the Copilot button from the main dashboard. You can disable any of the hiring channels from being sourced.
Q: Does Copilot's AI learn over time?
A: By design, to use AI compliantly, Copilot is not learning based on a user’s activity. This ensures that the system is not introducing bias to the user’s searches.
Q: How does Copilot distinguish between most engaged candidates and most qualified prospects?
A: Many candidates may apply for multiple positions, signaling that they are highly interested in engaging, but that doesn’t mean they are high-match candidates. This is why Findem uses proprietary AI through deep learning attributes with the combination of a comprehensive data lake to enrich candidate profiles beyond LinkedIn. Each candidate is then stack-ranked relative to the other candidates in the pool. It is up to you (the Findem user) on which strategy you'd like to use - (A) go after those who engaged the most or (B) go after the highest quality matches. In some cases, there may be a candidate who has both (A) and (B).
