Findem allows you to share candidates' Findem profiles with hiring managers or other applicable parties in your company. Findem users can share candidate profiles with other users and get feedback directly from the shortlist. The share flow allows hiring teams to send out candidate shortlists and receive feedback directly on the profiles, with a simple 3-point rating system of "not a match," "good match," and "great match." Users will receive an email when new feedback is left on the candidate profile.
However, these users don't need to have an active Findem account in order for you to share candidates with them. Via email, hiring managers can provide feedback and notes on the candidates, and that feedback will be shared directly with you. Non-Findem users will only see public-facing data in a shared profile; if the candidate has no public-facing data, the profile may appear empty. To view full resumes and detailed profile information, the recipient must log into Findem with a user account before opening the shared link.
When sharing candidates from one project/shortlist to another, Findem automatically checks for duplicates using its internal identity graph. This system relies on unique identifiers like email, LinkedIn URL, and Findem's internal person ID to prevent duplicate profiles from being merged into the destination project.
To get started with email sharing:
- From your applicable Project, find the candidate you want to share, either from the candidate row or enriched profile. Click the 3 dots icon (More options) and choose Share candidate.
- This will open up a modal where you can decide who to share the profile with. Either type the email address or choose from the list of other Findem users. You can add multiple emails or names here. The list will be pre-populated with hiring managers' contact information if your ATS integration contains that information.
-
Enter the email text. By default, you'll see a generic message that you can customize however you'd like. Be direct and concise with your request. When finished, click Send. The recipient(s) will receive an email with your request.
Note:
The link in the email will expire after 7 days due to token expiration. If this occurs, you'll need to resend the email for review.
- From this email, the reviewer should click Review Candidate in Findem to open up the candidate's enriched profile. This is where the reviewer can scroll through the entire profile, then determine if they find the candidate to be Not a Match, Good Match or Great Match.
- They'll click one of the three options, which will bring up a modal for notes. They should leave a detailed explanation as to why they chose the rating they did. Then they'll click Send. This will be sent directly to your inbox as an email.a0
Troubleshooting shared candidate access
If a hiring manager sees an "Error Loading Candidates" or can't access a shared list, try the following:
- Confirm you shared the intended candidate set (for example, the full shortlist you meant to send).
- Ask the recipient to open the shared link in an Incognito/Private browser window.
- If the issue persists, re-share the candidate list (you can re-share the same group) and have the recipient try the new link in Incognito/Private mode.
- If they still can't access the candidates after these steps, contact Findem Support for further investigation.
