The Shortlist page contains the candidates you're engaging with, organized around one goal: moving candidates forward. You can open a shortlist from the Findem Homepage by clicking the shortlisted number within a search, or by clicking the Shortlist tab inside a search.
The primary action: Assign to Campaign
Assigning a candidate to a campaign is the primary action on the page. Any candidate who isn't yet in a campaign shows a clearly labeled Assign to Campaign button on their row. Select multiple candidates and the same Assign to Campaign action appears as the first option in the bulk action bar.
Unassigned candidates are kept visually distinct from candidates already in a campaign, so you can always see who still needs to be moved forward.
Tip:
When adding shortlisted candidates to a campaign, use Add Campaigns rather than Switch Campaign, especially the first time you work with a candidate. This ensures candidates are added without errors.
Candidate Segments
Candidates are divided into clear segments, each with its own available actions. The page opens on Unassigned and Needs Attention so the work that needs you is surfaced first. Use the tabs at the top to move between segments.

Segment counts update in real time as candidates change state. A segment with zero candidates (for example, HM Review with nothing pending) is hidden rather than shown as an empty tab.
Delivery Status vs. Response Status
The page separates two things the old Campaign column used to combine:
- Delivery status — did the email send? Sent / Failed / Pending
- Response status — has the candidate replied? No Reply / Replied / Interested / Not Right Now
These display as independent indicators so you can scan each one on its own.
About "Pending" / "In Progress" delivery:
Findem may still be seeking a valid email address for a candidate. The system keeps looking, and delivery starts automatically if an address is found. If none is found after 24 hours, we recommend messaging via LinkedIn. A candidate can also show as pending if a message sent but later bounced — in that case the email may still appear on the profile. Confirm whether the candidate replied or verified the address through another channel before escalating.
Resolving Candidates in Needs Attention
Every candidate in Needs Attention shows the specific reason they're blocked and a contextual action to fix it:
- Missing email — the primary action becomes Add Email (an email campaign can't start without one).
- Bounced email — resolve or update the contact so outreach can resume.
- Failed export — shows the ATS error message (when available) and a Retry Export action.
- Profile refreshing — the candidate is temporarily locked from campaign assignment until the refresh completes; an estimated time is shown when available.
Row-Level Actions
Row actions are now explicitly labeled rather than icon-only. On each candidate row you'll find:
- Assign to Campaign (for unassigned candidates)
- Update Status
- A More menu for less-common actions: Remove from Shortlist, Add to Another Project, Download Insights Report
Supporting actions available across candidates include: share with a hiring manager, export to your ATS, add tags, add to another project, remove from the shortlist, provide a candidate review, and download an insights report.
Feedback, Ratings, and the Candidate Profile
Click a candidate's name to open their enriched profile and full interaction history. To rate or review a candidate, see Rating & Reviewing Shortlisted Candidates.
Filtering and Search
- Candidate name search stays persistent at the top of the page.
- Filters for attributes and pipeline views live in a collapsible filter rail. See Using Filters in a Shortlist.
Shared Shortlists (Hiring Manager View)
When you share a shortlist, hiring managers see a read-only version of the page. Their primary action is Provide Feedback. See Sharing Candidates.
Bulk Actions
Select candidates from the top of a segment to run bulk actions such as assigning to a campaign, sharing, exporting to an ATS, tagging, or removing. Bulk selection is scoped to one segment at a time.
