Integration Overview
Connecting your iCIMS ATS with Findem allows you to access candidate information, boost collaboration and view all applicant data in both Findem and iCIMS without having to switch between platforms.
Findem's integration with iCIMS ATS is a bi-directional sync between both platforms, meaning recruiters can accelerate their workflows. With this integration, you can:
- Save time and worry knowing that up to-date candidate information is displayed in both Findem and iCIMS
- Automatically create or update a candidate profile within iCIMS when a candidate responds to an email message
Note:
To help expedite your implementation, Findem requires that a login to your ATS environment be created for our usage. This login will be used to test the flow of information between the ATS and Findem, and by providing it directly to Findem, our engineers and technical staff can validate functions without needing your team to be present. Once the technical implementation is over, you can remove the Findem access from your account.
When you are introduced to your Findem project team, Findem will relay the name and email address of the project team member who will need said login.
In the event your ATS integration will include a sandbox and a production environment, we would request the login be created for both environments.
What Does the Integration Do?
Candidate Export
Findem integrates with your ATS allowing you to export candidate data directly to your ATS profiles. Candidates profiles can be exported independently or combined with an application directly to a job requisition.
Application Review
Findem allows recruiters to discover, score and prioritize applicants for any open role.
Candidate Rediscovery
Your ATS Data is mirrored in Findem and enriches a candidate's profile with their ATS history. Candidate statuses, stages, rejection reasons and more are recorded so you have a full picture of your company's engagement. Search and filter to find past applicants that are qualified for open roles.
Candidate Refresh
Findem keeps candidate profiles in your ATS up to date while also de-duplicating candidates when searching via Findem.
Setup Instructions
Note you must be the iCIMS admin user, as well as a Findem admin to set up the integration. Click here for full setup instructions.
Candidate Volume
Findem recommends that a candidate population of a million records will take approximately 5 days to load. If you have approximately a million candidate records, please make that clear to the Findem project team to help set expectations for candidate loading.
Currently, Findem primarily ingests applicants from the iCIMS ATS. Candidates in the iCIMS CRM section are not automatically included. Our team is working on an enhancement to access candidates in the CRM who are not part of active application workflows, which would expand the candidate pool available in Findem.
How long does it take for data to synchronize?

In some rare cases, data may take up to 2 hours to sync.
Why might my inbound applications not be syncing in Findem?
Inbound applications may stop syncing if there are issues with your iCIMS ATS credentials (for example, if the integration credentials become invalid or outdated). To troubleshoot:
- Go to your Findem Integrations page.
- Update your iCIMS ATS credentials.
- Verify that the iCIMS integration status is Active.
If applications still do not appear after confirming your credentials and status, contact Findem Support for further assistance.
What is the expected turnaround time for CSV imports?
CSV imports are typically completed within 24 hours. During this time, an import may show as In progress in the product. If your import appears to be delayed beyond 24 hours, please reach out to Findem Support so the team can investigate and provide an update.
Caveats/Known Limitations
- Currently, candidate rejection reasons in iCIMS are not available due to API limitations. Rejection can be done, but because most customers' workflows require they provide rejection reasons, rejecting in Findem may not work for you. Because of this, we recommend utilizing iCIMS to reject candidates and provide rejection reasons. You use Findem's email features to build templated campaigns instead.
- If you notice inconsistent rejection reasons in Findem, first check your integration configuration and recent application process changes. Contact Findem support with specific details about where you're seeing the discrepancies. They can help verify if the business process definition file needs to be updated to ensure consistent rejection reason display across different views.
- Analytics from Findem are not available due to API limitations.
- Email template syncing is not available due to API limitations.
- Findem analytics using ATS data is unavailable due to API limitations.
- If you receive an 'ATS Integration Failure' notification from Findem, follow these steps:
- Log in to your Findem account.
- Review the specific error details in the platform to understand what part of the integration is failing (for example, inbound applications, exports, or credential issues).
- Check the account ID associated with the integration and confirm that your ATS integration credentials (such as your iCIMS credentials) are still valid and up to date.
- Go to your Findem Integrations page, update your ATS credentials if needed, and verify that the integration status is Active.
- If the issue persists after updating your credentials and confirming the integration status, contact Findem Support at support@findem.ai so the team can investigate and provide an update.
