ATS applications (Greenhouse, Workday, etc.) often contain duplicate profiles for a single person. Duplicate profiles can occur when unique identifiers like email addresses or LinkedIn URLs are missing during profile imports, especially during bulk uploads from sources like job lists.
When searching in the Findem platform, Findem automatically deduplicates (removes one) profiles if they can be linked together.
Findem uses a deduplication strategy across all candidate sources (ATS, CRM, Talent Communities). When ingesting candidates, the system matches profiles using identifiers like social links and email IDs to create a unified candidate profile. This approach ensures that a candidate's full activity and history can be displayed, regardless of the original source of the candidate information.
Findem deduplicates ATS candidates if two ATS profiles have the same:
- Linkedin URL, or
- Email, or
- Work experience, or
- A combination of these
Findem does not merge records in the ATS. When searching within Findem, profiles are deduplicated even if multiple exist in the ATS.
When duplicate profiles are merged, the system consolidates information from both profiles, combining campaign statuses, contact details, and other relevant information into a single, comprehensive profile. This ensures you have the most complete and accurate representation of each candidate.
To minimize duplicate profiles when importing new candidates, ensure that each imported candidate has unique identifiers such as email addresses or LinkedIn URLs. These unique identifiers help the system accurately detect and prevent the creation of duplicate entries during the import process.
When a candidate has multiple distinct LinkedIn profiles, both profiles will remain valid in the Findem system. These profiles cannot be automatically merged, even if they belong to the same individual.
If you discover duplicate profiles for the same candidate in a Findem campaign or application that weren't automatically deduplicated, you can contact Findem Support. The Support team will investigate the duplicate profiles and can merge them to ensure you have a comprehensive view of a candidate's information.
If you notice multiple LinkedIn profiles associated with a single candidate, incorrect LinkedIn profile links, or other deduplication issues,Findem Support can investigate and correct the profile to ensure only valid information is associated with the candidate.
To identify and resolve issues with profile connections:
1) Identify the specific profiles causing issues,
2) Check the profile details in the Findem UI,
3) Contact Findem Support with specific profile links and a description of the connection problem. The team can investigate database-level issues and potentially remove or correct incorrect connections.
