Create Service Account, Get API Key, Secret and Authorized Email
In order for the integration to work, the Jobvite Admin user will need to create a service account in their Jobvite environment if this has not already been done.
- The Jobvite Admin will need to create a service account user (Findem’s “Authorized Email”) in Jobvite to use for a bi-directional integration.
- The service account user:
- must have a real company email address
-
cannot be an employee
- In the event that the employee leaves or is no longer a Jobvite Admin, the integration will break and a new account will need to be set up.
- must have the Admin user role in Jobvite
- must “accept” the Jobvite account invitation
- Recommended: jobviteapi@
- NOTE: This service account user can be used for multiple integrations.
- The service account user:
In addition, Findem requires an API key, API secret, Authorized email and service URL from Jobvite. To get this required information, you'll need to contact your Jobvite representative. They'll provide you with these details. You'll then need to plug in the information to Findem (directions below).
The Jobvite Admin will need to submit a ticket in Jobvite’s Help Center to request a Findem API key and secret, as well as the service URL. Service URLs are typically one of two formats based on the environment we're connecting to.
- If your API key is for a production environment, the service URL is typically:
-
https://api.jobvite.com
-
https://api.jobvite.com
- If the API key is for a staging environment, the service URL needs to be sourced from the Jobvite Support team and may look like:
- This user must be a Jobvite “Named Support Contact” for their company in order to submit the request
- Jobvite will ask for the following information:
- Vendor Name or Connected System:
- Endpoints:
- Environment:
- User Email:
- You'll need to provide the following as a response:
- Vendor Name or Connected System: Findem (https://www.findem.ai/)
-
Endpoints:
- GET/POST/PUT Candidate
- GET/POST/PUT Contact
- GET Workflow
- GET Disposition
- GET Job
- GET Employee
- Environment: Production and Staging (for initial testing)
- User Email: This should be the service account user email address created in the steps above
When contacting your representative at Jobvite Support, you must request that the API key and secret are given the API permissions listed below. Note that enabling these permissions does not always mean you have access to these functions, so we recommend asking Jobvite Support to review that both your account AND your API key can perform all of the following requests:
Finally, you'll need to provide the rep with an authorized email you'd like to be associated with the API request. This should be the Admin user's email.
Below is a sample email body you can use to streamline contact with your rep. We recommend CC'ing any technical or implementation contacts who may be of assistance if needed.
Hello!
We are attempting to complete an integration with findem.ai and need an API key and secret generated. The required API permissions are as follows:
- GET/POST/PUT Candidate
- GET/POST/PUT Contact
- GET Workflow
- GET Disposition
- GET Job
- GET Employee
The authorization email I want to associate with the API activity is [admin email here].
Please reply to this email with the requested information. I've CC'ed [any applicable contacts] who may help answer any technical questions or concerns.
Thank you.
Create Custom Fields in Your Jobvite Portal
After you've sent the request to your rep for the API information, head to your Jobvite portal to create custom Findem fields for Source and SourceType (e.g. 'Career Site', 'Job Board', etc.)
Connecting Jobvite in Findem
To finish the connection from within Findem, you need to have received the API information from your Jobvite rep:
-
Log in to Findem and navigate to Admin > Integrations. From the Connect ATS menu, click Manage.
- Locate Jobvite from the list and select.
- Fill out the required fields with the information received from your rep.
Field Mapping
When exporting data and objects from your Jobvite ATS to Findem, use the table below to ensure you have accurate mapping.
Mapping ATS Stages for Inbound Applicants
To map various stages from your Jobvite ATS to Inbound applicants in Findem:
- Head to Integrations > Jobvite > Manage > Stage Mapping.
-
Select from the dropdowns:
- Which ATS stages should be in the Inbound Applicants tab
- Which ATS stages should be excluded when advancing an application
-
Which rejection reasons should be excluded when rejecting an application
- Scroll down to group and map existing ATS stages to Findem stages. This helps us organize your data into logical buckets. Click and drag any applicable variable within each stage. You can also set SLA days for each stage.
