Talent communities:

- Engagement: Two-way via newsletters, events, and social media.
- Examples: Alumni, event attendees, subscribers via career sites.

Your access to talent pools and talent communities is tailored to your role assignment in Findem so that you only see what's relevant to you. Keep in mind, a single user can have multiple roles.
Sourcers

Ops (Support Sourcing)

Setup Steps and Requirements (Before You Begin)
Step 1: Share Brand Guidelines
- Send your logos, colors, typography, headers, and social links to your Findem CSM
- These will be uploaded for branded content blocks in campaigns
Step 2: Configure Email Protocols (with your company IT help)
- Set up a subdomain or custom domain for email sending
- Custom Domains for Sending Emails. Contact your CSM for help or questions
Step 3: Connect Email Accounts
Step 4: Upload Candidate Lists
- Import current talent pools, LinkedIn project lists, event attendees, ATS exports, referrals
- Go to CRM > Imports > Import People > Upload CSV. Ask your CSM if you need help with uploads.
Set Up Preferences
Go to CRM > Preferences:
- Fields – Choose what to display by default
- Custom Fields – Create your own for org-specific tracking
- Statuses – Customize (e.g. Ready Now, Ready Later, Not Contacted)
Navigating the Talent CRM Dashboard
The Talent CRM offers an intuitive interface that makes it easy to find, add, and organize profiles into talent pools. You'll see a dashboard that shows:
Active talent pools: A quick view of all your current talent pools.
Candidate search: Search profiles across your talent pool and community.
Recent activities: Recent actions or updates to your profiles.
From here, you can quickly add profiles, manage talent pools, and check the latest updates.
Adding Profiles to Talent Pools
In Talent CRM, adding profiles to talent pools is simple and efficient. Here's how:
From your dashboard, navigate to the Profiles tab where you can see all potential candidates in your database.
Select any profile you want to add to a talent pool. You can also select multiple profiles at once for batch actions.

Add to your talent pool:
From the drop-down menu, choose the option Add to Talent Pool.
You'll see a list of available talent pools. If a pool has already been created for the role you're filling, select the correct pool.
- After selecting your pool, click Add, and the profile will be instantly added to the pool.
Note:
If the candidate is already a part of a talent pool, this will be displayed next to the talent pool name. You won't be able to add the profile again, ensuring no duplicates.
Viewing Existing Talent Pool Memberships
Talent CRM provides clear visibility on whether a profile is part of a talent pool or community.
Talent pool membership: If a profile is already part of a talent pool, this will be shown next to the pool name when adding a profile. The system will prevent adding duplicate profiles to the same pool.
Talent community membership: Similarly, profiles that are part of a talent community will be marked, so you can manage both pools and communities without confusion.
This ensures you can track the most up-to-date candidate information and avoid redundancies.
Searching and Filtering Talent Pools
You can easily search and filter profiles in Talent CRM to find the right candidate. Use the search bar to quickly locate profiles by name, skills, or other relevant criteria.

Filter by Talent Pool or Community to see which profiles belong where.
Filtering with Archived vs. Deleted Pools/Communities
Archived talent pools or talent communities are not removed from the CRM filter options. They will continue to appear in filter dropdowns even after being archived.
If you need to remove a Talent Pool or Talent Community from the available filter options, you must delete it instead of archiving it. After deleting, refresh the page to update the filter list.
A feature request has been raised so that archived items are hidden from filters in the future, but this behavior is not yet changed.
Understanding the Follow-Ups Talent Pool
The Follow-Ups Talent Pool is a special, user-specific talent pool that's automatically created by Findem. Unlike other talent pools, it has some unique characteristics:
- Read-only status: You cannot add candidates directly to this pool or edit its name.
- Purpose: It's specifically designed to support follow-up notes and automatic follow-up detection features.
- User-specific: Each user has their own Follow-Ups Talent Pool.
Why is it different?
The Follow-Ups Talent Pool is intentionally designed with limited functionality to focus on its core purpose of supporting the follow-up workflow. This design ensures consistent follow-up tracking across the platform.
Best Practices
Regularly update pools: Keep your talent pools up-to-date to ensure you're always engaging with fresh, qualified candidates.
Batch profile management: Select multiple profiles at once and add them to your pools in bulk.
Avoid duplicate efforts: Always check whether a candidate is already part of a pool before adding them to prevent duplicates.
- Managing duplicate profiles: If you identify duplicate candidate profiles in your CRM, submit a ticket to our Support team requesting that the engineering team perform a cleanup activity to merge and deduplicate profiles. This involves a manual review process to consolidate duplicate entries, ensuring data accuracy and preventing redundant information.
Launching Campaigns
Findem's Talent CRM offers various campaign types, including:
- Rolling Campaigns: Drip nurture (each person starts at Email #1)
- Newsletters: Broadcast to everyone on a set date
To get started creating a new campaign:
- Head to Campaigns > New Campaign
- Create your email(s) with applicable messaging and content.
- Assign to a Talent Community.
- Choose Rolling or Newsletter.
- Select recipients (All Candidates or Marketing Contacts)
You can track your campaigns in Analytics.
