Overview of CRM Filters
This article provides an overview of the filters and attributes available within the CRM feature of your recruiting software. These tools are designed to help you easily search, segment, and engage candidates based on your sourcing activities, ATS integration, CRM engagement history, and custom data.
Upon hovering at the bottom of the Attributes menu, you'll also see a Browse All section within each filter easily accessible for broader search functionality.
Note:
When you import or tag a candidate, those changes will appear on their profile immediately. However, it may take 1–2 hours for the updates to reflect in your filter results while the system indexes the new data.
This is completely normal and ensures your CRM remains up to date and efficient.
The CRM filters and attributes allow you to:
Search and segment candidates from your sourcing efforts and ATS
Use CRM data and custom fields for relationship-building
Find candidates by experience, location, and company history
Access advanced filtering through Findem's enriched data
You may sometimes notice different candidate counts between the CRM tab on the search page and the main CRM page, even when you apply the same visible filters.
- The CRM tab on the search page applies additional, hidden filters that automatically exclude (1) current or previous employees of your organization and (2) profiles sourced from your ATS.
- The CRM page does not apply these hidden filters, so it typically shows a higher candidate count for the same filter set.
If you suspect profiles are missing from the CRM tab results (for example, your own employees or ATS-sourced candidates), open the main CRM page to view the full set of matching profiles.
Getting Started
Open your CRM's left-hand panel to show the search criteria (attributes). You can edit this however you'd like if it doesn't match your requirements exactly. Note that any changes to the search criteria will automatically filter candidates who match the requirements you listed. It's also worth noting that upon leaving the page, the changes you made will not be saved.
Note: When adding a status to someone, it can take some time to appear when filtering.
Sort by Findem Attributes
You can sort candidates by the search (or project) they are a part of, as well as any campaigns or response state they fall into.
Search: This will show you all active projects. Filter by any applicable projects your candidates are part of.
Campaign Name: This will show all active campaigns.
Response State: This shows all candidates filtered by their current response state to a sourcing campaign.
Sort by ATS Attributes
These filters come directly from your Applicant Tracking System (ATS). Fields available here are dependent on your ATS integration and may vary across platforms.
For example, Workday does not support tags, so you may not see that option if you're integrated with Workday.
The exact fields you see will vary and are typically configured during your ATS integration setup.
If you have questions about your ATS fields, reach out to your Customer Success Manager or your admin.
Searching for Past Applicants
When searching for past applicants for a specific job role it's recommended to use the sourcing product rather than the CRM. The ATS filters allow you to search for applicants, though you may need to select individual requisitions. Consider using partial job title matches (e.g., 'system reliability') to broaden your search results.
Sort by CRM Attributes
CRM filters allow you to search based on how you've interacted with candidates within the CRM itself. These include:
CRM-specific activities and actions
Custom CRM fields you've created
Candidate status, which you can define
Candidate sources, to understand where talent in your CRM originated
Why CRM Filters Matter
CRM filters are crucial for strategic campaign creation and candidate management, allowing you to:
- Assign candidates to specific campaigns based on referral sources
- Acknowledge a candidate's previous application history
- Sort candidates by talent channels
- Create more personalized and targeted recruitment communications
Currently, you may need to manually navigate through individual candidate profiles to apply some CRM-based filters.
Specifically, the filters available are:
- Blocklisted
- CRM Source
- CRM Status
- Candidate Tag
- Import Filename
- Linked Profiles
- Marketing Contact
- Nurture Campaign
- Outreach Status
- Talent Community
- Talent Pool
- Unsubscribed
Some CRM filters are configured in your preferences, and include both default and custom fields.

CRM Source: This filter will show candidates based on how they got placed into your CRM. Filters include:
- ATS
- Findem Manual (manually added candidates)
- Findem Shortlist (added via a shortlist)
- Imported (brought in via CSV)
- TC Signup (candidate signed up for your CRM via a talent community email)
- Candidate Tags
- Talent Community
- Talent Pool
- Nurture Campaigns
- Linked Profiles
Verifying Candidate Tags
If a tag does not appear in the import dropdown, you can confirm whether it exists by filtering your candidate list using the Candidate Tag CRM filter. If the filter returns candidates, the tag is active in the system even if it is not currently visible in the import interface.
Sort by CRM Custom Fields
Any custom fields you've created can be used as filters when sorting. To create custom fields, head to CRM Preferences > Fields. These custom fields can be used as variables in campaigns as well.
Custom Educational Filters
When filtering candidates by education, the standard 'Graduation Year' filter captures degrees across all levels (Bachelors, Masters, Doctorate). For more precise filtering by specific degree type, you can request custom attributes from the support team. For example, a custom attribute like 'Masters degree before 2020' can help you find candidates with very specific educational qualifications.
Sort by "Show More Filters" which are the regular filters
Below the CRM filters, you'll find additional attributes to fine-tune your search. These fields help you answer key questions like:
Is this candidate qualified?
Are they in the right location?
Do they have relevant experience at targeted companies?
With Show More Filters you'll expand a lot more options to filter by, including:

My Company: Includes fields for Connections, Exited Employees (those who left your current company) and New Hires
- Job Title
- Location
- Companies
- Company Size
- Industries
- Skills: All skills can be Must Have and Nice to Have based on your preferences

Experience: Sort by Overall, Current, Role, or Industry experience

Edit Skills with Boolean
Bring industry-standard Boolean format to your Findem search criteria. Findem supports Boolean phrases in the following sections:

- Keywords
Using AND, OR, and NOT operators

Use AND in a query to narrow your candidate results
- "blockchain AND cloud computing" uncovers candidates who match all criteria

Use OR in a query to broaden your candidate results
- "software engineer OR frontend developer" uncovers candidates who match any criteria
- Alternatively, comma separated values will also combine the search terms as ORs (e.g. "software engineer, frontend developer")

Use NOT in a query to exclude candidates who match the search criteria
- "NOT google.com" excludes candidates who currently work at Google
Edit Experience Requirements
In the Experience field, you can get extremely granular with Role and Industry experience. For example, if you're looking for a Sales Manager with 10+ years overall experience across 3 or more industries, you can filter your results by choosing the appropriate values here.
Current Experience vs Overall Experience: Current Experience represents the amount of time you've been in your current role, whereas Overall Experience represents your overall work experience.
